SEO Agency Software Pricing, Worked Out Per Client

The plan price on an agency software page is almost never the number you need. What you need is the plan price divided by the thing that grows when you win business — and every vendor in this category has chosen a different divisor. Here is the same sum applied to all of them, using figures read off each vendor's own pricing page on 24 September 2026.

The six meters, in one sentence each

AgencyAnalytics bills per client and does the division for you. SE Ranking bills per plan and gives you a project allowance. DashThis bills per dashboard and says in plain words that one dashboard is one report. Swydo bills per connected data account and advertises that it does not bill per client. Databox bills per user and data source, then sells clients in packs. Whatagraph bills per source credit, by appointment, in euros.

Four of those are dollar prices, which means four of them can be compared directly. Two cannot, and this post does not convert them, because a converted price is a number you will never be charged.

The arithmetic, tool by tool

AgencyAnalytics: the division is already done

One plan, $20 per client per month on annual billing, or $25 billed monthly. Nothing to divide. Every branding feature and the client portal are inside that rate, so for an agency with a handful of clients the total bill is as simple as multiplying by the roster. Above 25 clients the page stops printing figures and asks for a conversation.

The two add-ons do change the sum. Rank tracking is $41.67 a month per 500 keywords on annual billing, and that is a flat account-level cost rather than a per-client one — so it gets cheaper per client the more clients you have. With ten clients tracking fifty keywords each, that add-on is adding a little over four dollars per client per month on top of the twenty.

SE Ranking: divide by the project allowance

Core is $103.20 a month on annual billing and carries ten projects. Growth is $223.20 and carries thirty. The Agency Pack, which is what puts your branding on the reports, is $69 a month and is annual-billing only.

Core plus the pack is $172.20 for ten projects: $17.22 a client. Growth plus the pack is $292.20 for thirty: $9.74 a client. That is the steepest discount for scale anywhere in this comparison, and it is entirely a function of the pack costing the same either way. An agency at fifteen clients is paying for thirty projects on Growth and getting a per-client line of about nineteen and a half dollars — worse than AgencyAnalytics. The crossover is somewhere around twenty clients, and it is worth working out exactly where you sit before choosing.

DashThis: divide by the dashboards

Professional is $139 a month annually for ten dashboards — $13.90 each. Business is $279 for twenty-five — $11.16 each. Standard is $429 for fifty — $8.58 each. Individual is $44 for three, which is $14.67 each and the only tier where the per-unit price goes up rather than down.

The complication is that a dashboard is not always a client. A client who wants SEO and paid media in separate documents is two dashboards. A client who wants one combined document is one. So DashThis's meter is measuring your reporting style as much as your roster, which is either a feature or a trap depending on how your clients like to receive things.

Swydo: divide by the connections, then guess the connections

The base is €62 a month on annual billing with the first ten data sources included; after that it is €4.50 each to a hundred, €3.00 each to five hundred, €2.00 each beyond. A data source is one connected account.

This is the only meter here that can go down when you win a client, in the sense that an eleventh client with two connections costs less per client than the tenth did, because the base is already paid. For an SEO-only agency, where a client usually needs Search Console and Analytics and nothing else, that is a genuinely cheap way to scale. For a full-service agency where every client brings five ad accounts, the count grows five times faster than the roster.

Databox: the sum you cannot finish

The agency plan starts at $79 a month on annual billing or $99 monthly, "plus client packs as you grow". The pack price is not on the page. There is no honest per-client figure to publish here, so there is not one here. If Databox is on your shortlist, the first question to sales is what a pack costs and how many clients are in one — not what the plan costs.

Whatagraph: euros, and no self-serve price at all

Max is from €699 a month, billed annually. Prime is custom. The plans are defined in source credits — one credit is one connected data account — but the page does not say how many credits each plan carries, so the divisor is missing. At €699 a month, thirty clients would be a little over €23 each, and ten clients would be about €70 each. Both of those are sums we can do and neither is a price Whatagraph publishes, so treat them as the shape of the question rather than the answer.

The two mistakes this arithmetic is meant to prevent

Buying capacity for the roster you want. Every plan-priced tool in this category is bad value below about two-thirds of its allowance, and the Agency Pack makes SE Ranking's version of that worse, because the pack costs the same whether you fill it or not. Buy for the roster you have, and re-run the sum when it changes.

Forgetting the add-ons are a different meter. AgencyAnalytics' rank tracking is per 500 keywords. SE Ranking's AI Search add-on is per 200 prompts. Semrush's report add-ons are per account. These do not scale with clients, which means they behave like fixed costs and flatter a large roster. When you compare two tools, compare them at your roster size with the add-ons you would genuinely buy, not at the headline.

What to do with the number once you have it

The per-client figure is not a budget; it is a comparison. What it is genuinely useful for is the conversation about retainers. If reporting software costs you fifteen dollars a client a month and a retainer is fifteen hundred, the software is a rounding error and you should buy the one that makes the reports better. If you are running twelve clients at three hundred a month, fifteen dollars is a real percentage of the margin and the free route deserves a serious look first.

Per-client pricing questions

How much should an agency budget per client for SEO reporting software?
On the US-dollar plans read on 24 September 2026, between roughly $9 and $20 per client per month, depending on how full the plan is. The cheapest line is SE Ranking Growth with the Agency Pack at $9.74 per project, and the simplest is AgencyAnalytics at $20 per client with no division and no add-on needed for branding. Below about ten clients, paying per client is usually cheaper than buying an allowance.
Is annual billing worth it for agency reporting software?
It saves money at every vendor here, and at SE Ranking it is not optional if you want branding — the Agency Pack is marked annual billing only. The saving is stated as 20% at AgencyAnalytics, SE Ranking and Databox, 10% at Swydo and 15% at Sitebulb. The cost is a year's commitment on a tool you may want to leave, which is a real risk on your first reporting platform and a small one on your third.
Which tools do not charge per client?
Swydo says so explicitly — "No per-client fees", unlimited clients, and billing by connected data source instead. DashThis bills by dashboard, which for an agency that sends one document per client amounts to the same thing but for a different reason. Databox bills by user and data source at the plan level, then sells client packs separately at a price it does not publish.
